Our Story

The story of Gruppenplan and how it came to be

Leonardo Mora has been organizing group travel through Semesterkur.de since 2017. The concept: affordable, large-scale trips for students and young travelers — made possible by booking entire hotels or large sections of them.

As demand grew, so did the complexity. Assigning rooms, handling group preferences, responding to participant questions, managing bookings, cancellations, and special requests — all of it quickly became overwhelming. While managing 20–50 participants was still feasible, organizing trips for 200 to 800 people led to significant logistical challenges.

At the time, all participant data had to be managed manually — using pen and paper, or unwieldy Excel spreadsheets. Room allocations, group requests, last-minute changes, equipment rentals, and continuous email communication resulted in countless hours of administrative work.

In 2022, I, David Siewert, joined Leonardo to develop a more scalable and elegant solution to these challenges. Together, we created Gruppenplan — a software platform designed to automate and simplify the group management process.

Originally built to meet the needs of Semesterkur, we developed Gruppenplan in a way that makes it accessible and useful for other tour operators facing similar organizational hurdles. It streamlines room assignments, participant data, group preferences, and communication — all within a single, user-friendly system.
